When an order is placed and sent to your supplier, you may want to notify the vendor of a requested ship date, or specify vendor delivery dates. You can use the Promise Date feature in Duoplane to achieve this. Promise dates can be viewed and managed directly in the Duoplane portal, or sent to your supplier via an automated feed.
Promise date calculations can be set at the global account level, the vendor level, and at the product level.
How Promise Dates are Displayed and Sent to Vendors
At the time an order is sent to the vendor, Duoplane uses the promise date calculation settings that you have configured at each level (instructions on setting these up are below) to determine what the promise date should be set as on the PO. The promise date is displayed on the PO in Duoplane, and if you have your vendor setup to receive a data feed, you can include this value on the data that gets sent to them. Any changes to the promise date can be viewed by clicking the “Promise date history” link.
If the promise date for an order comes and goes and the order has not yet been shipped or delivered, the order will be marked as late.
Any orders that are late can be viewed by going to the Orders tab and clicking the Late orders link.
Updating Promise Dates on Orders
To update a promise date on an order, you can just click directly on the box that contains the promise date information, and select a new promise date from the calendar box that opens.
It’s important to keep in mind that if your vendor receives an automated data feed and does not use the Duoplane portal to track ship dates, you will need to resend the PO to the supplier for them to see the new promise date.
If you utilize Duoplane to notify customers of delivery date changes, you will want to ensure that you trigger the email notification to the end customer in the portal.
How to Set a Global Promise Date on All Orders
To set a global promise date calculation on all orders in your Duoplane account, you can go to Settings –> Company Information (https://app.duoplane.com/company/edit), and set the “Default leadtime days” to the amount of days that you want the supplier to ship the order in after the order is placed.
How to Set a Promise Date Calculation for a Specific Vendor
You can override the global promise date calculation by configuring the same setting at the vendor level. To do this, you will want to locate the vendor you are setting the new leadtime for, and click “Edit” in the General information settings. Next, you can enter the leadtime that you would like this vendor to utilize.
Set a Promise Date Calculation for Individual Products
Product level promise dates override both the vendor and global level promise date calculations. To do this, you can go to the product you would like to update, and enter the fulfillment time in the “Leadtime days” field.
